Purpose for the Position:  The Full-Charge Bookkeeper will prepare accurate and timely monthly financial statements for multiple hotels.

Essential Duties and Responsibilities:

Full-cycle accounting duties for multiple entities:

  1. Record daily receipts and disbursements on cash register. Prepare weekly bank reconciliations, investigate differences, and communicate discrepancies with senior accounting staff.
  2. Review and post invoices entered by hotel accounting staff to ensure completeness and accuracy. Communicate with hotel accounting staff when issues arise.
  3. Prepare all monthly closing journal entries: payroll, accruals, recurring, and adjusting.
  4. Prepare all balance sheet reconciliation schedules: prepaid, accruals, inventory, etc.  Communicate discrepancies with senior accounting staff.
  5. Prepare sales tax/occupancy tax schedules used to file monthly/quarterly returns. Communicate issues with tax calculations to Senior Accountant.
  6. Coordinate weekly check runs with Accounts Payable. Determine which invoices are to be processed by reviewing cash flow projection, accounts payable aging report, and communicate with hotel accounting staff.
  7. Review daily revenue reporting entered by hotel accounting staff, spot check for completeness and accuracy.
  8. Coordinate and communicate with hotel accounting staff to gather all financial information needed to prepare monthly financial statements for multiple hotels.
  9. Review monthly financial statements for accuracy and completeness. Communicate with hotel accounting staff to obtain information required to complete the statements.
  10. Participate on Financial Preliminary Review Call.
  11. Provide analytical, supplemental, and other data as requested by hotel and corporate staff.
  12. Additional duties as requested.

To do this kind of work, you must be able to:

  • Intermediate knowledge of accounting principles.
  • Intermediate Excel knowledge including formatting, copying, editing, linking cells, basic formulas etc.
  • Proven work experience as full-charge Bookkeeper/Accountant for multiple entities.
  • Speak and write clearly to report financial information.

Physical Demands:  Lifting 10 lbs. maximum and occasionally lifting and/or carrying such articles as dockets, ledgers, and small tools.  Reaching, handling, feeling, talking, hearing, and seeing are required demands for this position.  Walking and standing are required only occasionally.

Environmental Conditions:  Inside: Protection from weather conditions but not necessarily from temperature changes.  A job is considered "inside" if the worker spends approximately 75% or more of the time inside.

Math Skills:  Requires mathematical development sufficient to be able to:  Compute discount, interest, profit and loss, commission, markups and selling price.

Language Skills:  Must have developed language skills to the point to be able to:  read newspapers, periodicals, journals, and manuals.  Write business letters, summaries and reports using prescribed format and conforming to all rules of punctuation, grammar, diction and style.  Participate in discussions and debates.  Speak extemporaneously on a variety of subjects.

Relationships to Data, People, and Things:

Data:  Coordinating:  Determining time, place, and sequence of operations or action to be taken on the basis of analysis of data; executing determination and/or reporting on events.

Things:  Handling:  Using body members, hand tools, and/or special devices to work, move, or carry objects or materials.  Involves little or no latitude for judgment with regard to attainment of standards or in selecting appropriate tools, objects or materials.

Specific Vocational Preparation:  Hotel accounting experience, two-year Accounting Degree, or comparable experience.  M3 experience a plus.  Must be proficient in math, have excellent communication skills, be detail oriented, able to handle multiple tasks, work independently, prioritize, and meet all deadlines.
