REPORTS TO:  Controller

Purpose for the Position:  To oversee all cash aspects at the hotel.

Essential Responsibilities:

  1. Review and monitor cash balances on a daily basis for the Hotel ensuring that cash is on hand to meet all operational requirements of the Hotel. Maintain and update the working cash spreadsheet.
  2. Coordinates with accounts payable to ensure that payables are being paid on a timely basis.
  3. Works with property accountants to ensure that all cash requirements are being coordinated and paid monthly - i.e. sales tax, admission taxes etc.
  4. Manages all functions of the box office, within the parameters of box office procedures for all events contracting this service.
  5. Oversees the bank reconciliation - Reviews all bank reconciliation to ensure that they are completed and accurate.  Coordinates any follow up items with accountant to ensure that all items are resolved in a timely manner.
  6. Key point of contact for various banking institutions coordinating the opening, closing, and maintaining of bank accounts ensuring that all proper documents are completed and accurate.
  7. Coordinates all cash transfers required for payroll accounts, owner held reserve accounts, managers accounts etc.
  8. Prepare all cash flow analysis for Controller to review.
  9. Key point of contact for credit card processors ensuring that all credit card transactions are processed accurately and timely to hotel bank accounts.  Works with accountant as well as credit card processor to help resolve any credit card variances that may occur.
  10. Responsible to make sure all manual check stock is ordered as well as maintaining the Create-a-Check software to ensure that all bank accounts are set up with proper banking information.
  11. Responsible for the check guarantee process and key point of contact to coordinate all the hotel information and to ensure all transactions are being recorded properly.  Responsible for all NSF checks to coordinate with General Manager or check guarantee service for collection of all returned checks.
  12. Responsible for all stop payment requests.
  13. Responsible to make sure all general ledger entries are recorded for transfers and or deposits recorded at the corporate office.
  14. Responsible for reconciling all cash balances to general ledger each month.
  15. Manage charge back reconciliation procedure for the Hotel.
  16. Other projects as requested.

To do this kind of work, you must be able to:

  • Understand and use math concepts.
  • Work math problems quickly and accurately.
  • Understand and use computers and related equipment with a focus on Timberline and Microsoft Office.
  • Be available on nights, weekends and holidays.

Physical Demands:  Lifting 10 lbs. maximum and occasionally lifting and/or carrying such articles as dockets, ledgers, and small tools.   Walking and standing are required only occasionally.  Speaking and hearing.

Environmental Conditions:  Inside: Protection from weather conditions but not necessarily from temperature changes.  A job is considered "inside" if the worker spends approximately 75% or more of the time inside.

Math Skills:  Requires mathematical development sufficient to be able to: Apply mathematical operations to return on investments, internal rates of return, frequency distributions, reliability and validity tests, normal curve analysis of variance, correlation techniques, etc.

Language Skills:  Must have developed language skills to the point to be able to read operating, management, franchise and other agreements as well as newspapers, periodicals, journals, and manuals.  Write business letters, summaries and reports using prescribed format and conforming to all rules of punctuation, grammar, diction and style.  Participate in discussions and debates.  Speak extemporaneously on a variety of subjects.

Data:  Coordinating:  Determining time, place, and sequence of operations or action to be taken on the basis of analysis of data; executing determination and/or reporting on events.

Things:  Handling:  Using body members, hand tools, and/or special devices to work, move, or carry objects or materials.  Involves little or no latitude for judgment with regard to attainment of standards or in selecting appropriate tools, objects or materials.

Specific Vocational Preparation:  Seven to ten years progressive Full Service Controller, Regional Controller and/or corporate experience in the hospitality industry. Development and deal experience a plus. Bachelor's degree required.
